How to Remove Metadata from Excel Files

Remove author names, company details, and file properties from Excel. Follow Windows steps or clean an XLSX locally, then check the file you share.

Quick answer

In Excel for Windows, save a copy and open File > Info > Check for Issues > Inspect Document. Inspect Document Properties and Personal Information, remove the unwanted properties, and save. If you want to clean supported XLSX properties without Excel, use the local browser method below. Hidden sheets and external links need their own review.

Remove Excel metadata on Windows

Use desktop Excel and work on a sharing copy. Property cleanup is different from deleting workbook data.

  1. Save a copy with a distinct name, such as budget-sharing.xlsx.
  2. Open File > Info > Check for Issues > Inspect Document.
  3. Include Document Properties and Personal Information, then select Inspect.
  4. Review that category and choose Remove All if those properties should be removed. Do not automatically remove hidden rows, columns, or worksheets.
  5. Reinspect, save the copy, and check the final saved file.

Microsoft's Document Inspector guide describes this process and warns that deleting hidden worksheet data can change calculations. If a workbook is in the legacy Shared Workbook mode, some inspectors are unavailable; follow Microsoft's copy-and-unshare instructions for that specific mode.

Remove XLSX properties without installing Excel

The XLSX Metadata Remover cleans supported file properties in your browser without uploading the workbook. It accepts unencrypted, macro-free XLSX files, up to 100 MB each, with up to 20 Office documents in one batch.

  1. Finish editing, then save or download the final XLSX. Keep the original workbook separately.
  2. Select the file in the cleaner. Read the author, last editor, company, custom properties, thumbnail, and saved-folder path if present.
  3. Choose which fields to remove. For example, a saved path could reveal a staff username or a client folder even when Author is blank.
  4. Choose Clean and read the report. Non-metadata parts, including worksheet and formula parts, are compared with the original; the tool withholds a download if its integrity checks fail.
  5. Download the cleaned workbook. Scan that downloaded copy with the viewer before attaching it to a message.

This method keeps sheets, cells, formulas, and embedded content. It reports hidden sheets and comments when found but does not delete them. It does not provide a complete audit of formulas, external connections, or cached data. Rewriting a digitally signed workbook invalidates its signature.

What if you use Excel on a Mac or in the web app?

The File > Info walkthrough above is for Windows desktop Excel. If Inspect Document is not available in your Mac or web app, download an XLSX copy and follow the browser method, or inspect a copy in desktop Excel on Windows. Changing only the displayed Author value is not a complete metadata cleanup.

Do not rename an XLS, XLSB, or XLSM file to XLSX. The browser cleaner does not support those formats or password-protected workbooks. If you need macros or another format-specific feature, keep that format and use Excel's native tools instead of converting it just to run a cleaner.

Check hidden sheets and links without breaking formulas

A workbook can have a blank Author field and still expose private data. Make these checks on the sharing copy before its last property cleanup:

Excel content to review separately from file properties
Where to lookWhat to review
Hidden sheets, rows, and columnsUnhide and read them before deciding what to share. Formulas may depend on data outside the visible report.
Comments, notes, and headers or footersLook for reviewer names, internal explanations, client names, or project details.
Workbook links and defined namesReview references to other files, including paths embedded in formulas. Decide whether the recipient needs those references.
Connections, embedded files, and cached resultsReview the source material as well as the visible cells. A properties cleaner does not sanitize these contents.

Microsoft's worksheet visibility guide explains that hidden sheets still contain usable data; some sheets hidden through VBA do not appear in the ordinary Unhide dialog. A normal-looking sheet-tab list is not enough to establish that every sheet is visible.

Use Microsoft's workbook-link instructions when reviewing or removing those references; property removal alone does not remove them.

Verify the workbook before you send it

Open the Office Metadata Viewer and choose the final downloaded or saved XLSX. It is a separate read-only scan of supported properties, not a certificate that the workbook contains no private data.

  1. Check the author, last editor, company, dates, custom properties, thumbnail, and saved path you intended to remove.
  2. Open the copy in Excel. Confirm the expected sheets, key totals, formulas, and charts still work as intended.
  3. If you changed hidden data, links, or connections, compare important results against the original. Then repeat the property cleanup and scan after your final save.
  4. Attach the verified copy. Check the filename too, and remember that cleaning a download does not erase cloud version history or change who can open an existing shared link.

Sources and related steps

The Microsoft instructions linked in this guide were checked on November 3, 2026. Menus can vary by Excel version. The browser method's scope follows the current XLSX tool, which preserves workbook content. Sending a document with the spreadsheet? See how to remove metadata from a Word document.

Considering CSV instead? Microsoft's CSV export notes explain that text export saves only the active sheet and discards formatting. Choose it when you need a plain data export, rather than a working XLSX workbook.

Frequently asked questions

How do I remove the author from an Excel file?

In Windows Excel, use Document Inspector's Document Properties and Personal Information category. For an unencrypted XLSX in the browser cleaner, deselect all fields and select Author plus any other identity fields you need removed. This does not remove names written in cells or comments.

Will removing Excel metadata delete formulas?

The browser XLSX cleaner preserves the worksheet and formula parts and checks them against the original. In Excel itself, removing hidden sheets or breaking workbook links is a different operation and can affect formulas or their results. Review those operations separately.

Does saving as CSV remove all Excel metadata?

CSV is a different output with no XLSX document-property parts. It also cannot preserve a complete Excel workbook with multiple sheets, formatting, charts, and formulas. Names and private data written in the exported cells remain. Use CSV only when a plain data export is what you intend to share.

Why can a saved folder path return after cleaning?

Excel can write location and other properties during later saves. Finish workbook changes first, clean the sharing copy, and scan after the last save. A file's operating-system timestamps are also separate from the properties stored inside the XLSX.
